Marketing Events Specialist

We are the North American division of world-renown Metrohm AG (Herisau, Switzerland), an industry leader in laboratory instruments and accessories for analytical testing/research. We are looking for a Events Coordinator to join our team in Riverview, Florida. It's your chance to be a part of a dynamic team and make an immediate impact! 

The Marketing Events Specialist is an important part of the marketing team and is responsible for three primary functions: (1) seminar coordination, (2) trade show logistics and (3) overall program support.

Seminar Coordination:

Plan and execute approximately 25+ seminars annually from conception through post event communication and reporting.

  • Hands-on execution of seminar program from creating a timeline of events, setting-up online registration pages, venue negotiation and selection, communicating logistics to internal and external groups, working with Marketing Communications to publish descriptions and dates, follow-up communications, CRM data entry and budgeting to effectively carry-out plan.
  • Develop and execute project tasks and timelines, manage vendor relationships, speakers, and post-event follow up.
  • Work with Event Manager to systematize the program management to ensure consistent, high quality, and efficient implementation of the annual events calendar.
  • Serve as the main contact for internal stakeholders, customers and vendors.
  • Obtain necessary information to ensure efficient event; including meeting setups, food and beverage specifications, AV requirements, shipments from home office, billing, etc. Ensure all necessary inter-company communication is accurate, timely and understood, lead pre-event meetings when necessary.
  • Keep sales reps and director abreast of changes to program and ensure they stay involved through email, phone and Outlook calendar invitations.
  • Liaise with Marketing Communications and Sales Reps to ensure pre-event customer facing communications are created and executed according to timeline.
  • Responsible for being proficient in and maintaining brand experience for program and effectively communicating value.
  • Organizing, compiling, shipping and tracking seminar materials including literature folders, audio visual equipment, name badges, sign-in sheets, gift bags and additional items to support event.
  • Receiving completed surveys from local Reps and entering data into spreadsheet for CRM upload.
  • Maintain Reports Portal for internal stakeholders.
  • Contact attendees via phone and email as needed.

Trade Show Logistics:

Register Metrohm USA for upcoming shows, communicate and collaborate with Events Manager and throughout process:

  • Manage the event calendar, distribute as needed, including sending invites to speakers and exhibiting staff.
  • Coordinate pre-show planning including:
    • Meetings with stakeholders to assess show needs
    • Assist with determining staffing needs
    • Show services ordering
    • Packing and shipping of display items, furniture, marketing support, giveaways and literature according to audience and show requirements according to published deadlines
    • Provide remote or on-site support to show team throughout set-up, show dates and breakdown.
  • Coordinate post show activities including:
  • Return shipping of display items and marketing support and inspecting for damage upon return
  • Lead capture review and entry into Excel for CRM upload.

Overall Program Support:

  • Set-up and manage registration process and provide customer service support to participants. 
  • Maintain and report on program budgets, financial reporting and CRM.
  • Provides administrative duties including but not limited to keeping procedures and policies current; monitoring projects and creative, maintaining suggestion program.
  • Track promotional items for low-stock. Respond to, process and mail requests for promotional items.
  • Assist with internal programs and events as needed (i.e., annual meeting, off-site meetings, employee events, etc.)
  • Provide reception desk coverage when necessary.

Education / Experience / Additional Qualifications:

  • Bachelor’s degree in Marketing or related field. CMP Preferred.
  • 3-5 years of experience in a similar role.
  • Excellent communication skills, including writing, proofreading skills, and speaking.
  • Proficiency in MS Office and database software.  Experience with Microsoft Dynamics and Cvent.
  • Keen eye for details, grammar expert, takes pride in consistent formatting and awesome spreadsheets.
  • Professional, resourceful, and organized. Ability to work independently and as a team player, to take initiative and prioritize multiple projects while remaining professional.
  • Creative thinker who can come to the table with solutions for workflow efficiency, increase customer experience and continually look for the best way to reach a goal.

  • Multitasking a plus, ability to prioritize quickly and efficiently.
  • Conscientious in quality and guest service.
  • Occasional travel to onsite event 15-20%.
